- Description: Our company operates on small construction and repair services. We've used VTiger for over a year now.
Features we have used are invoices, quotes, work orders (my modification) and clientbase+contacts.
So far we have used OSS called Collabtive for tracking time (hours worked on a job) now we have came to a conclusion that all information has to be in one DB, operated through one software.
So for starters we need a 'timetracking' module for Vtiger 5.3
See the image attached (calendar_timetracking.jpg) for layout and fields necessary.
-'timetracking' is a module which works under projects->project tasks
-'timetracking' is used through calendar view (similarities with event function)
*User fills his/her hours spent on a job, in calendar view.
*Project and project task, which timetracking is related to, are VTigers standard modules. Project and project task user can select from dropdown-boxes.
First user selects project and then script loads related tasks to 'project task' dropdownbox.
*'Work done'-dropdownbox needs 3 to 10 rows. In 'work done'-box user selects type of work he's done eg. maintenance, construction, plumbing...
Values can be edited with phpMyAdmin or if possible VTigers >Settings >Picklist Editor.
*'Description' is Textarea where user can give more specific information of work done.
*'Hours worked'-dropdownbox has values from 1 to 20. Date box is needed so user can be sure he's editing the right date.
*'Kilometers' textfield accepts only numeric values without decimals eg. 45 or 88
*Options 'own car' and 'company car' - default value: own car.
*Textboxes 'Location' 1 to 8 should add following line to DB: location1-location2-location3-location4... If textfield value is NULL, value is not inserted. When DB query is made, result should look like 'test street, test city - second street, second city - ...'
Timetrackings inserted to calendar should appear on the calendar view like this: Project No - Task No./username/Hours (attached image calendar_timetracking.jpg)
Each hour added to task has to be automatically added to 'worked hours'-field of the task (counter). If hours are removed from task, same amount of hours is reduced from 'worked hours'.
Kilometer counter below 'worked hours'-field, similar functionality as 'worked hours'-field. (project_task_view.jpg)
In Calendar Date view (date_view.jpg) user can browse his own timetrackings and also timetrackings made by others to same project task. He's also able to insert new time tracking from dropdown-menu.
Summary
*Timetracking information is related to Project Task
*timetracking information can be accessed through calendar or project task-view (calendar_timetracking.jpg / project_task_view.jpg)
*Project task-view lists timetrackings and calculates hours and kilometers (project_task_view.jpg)
*Calendar Date-view shows all timetrackings of the day (user can select view preset "mine" or "all") (date_view.jpg)
*Module has to work with vtiger 5.3.0
