Rentarvnow.com has developed a form to collect information in order to produce sales for different markets….

This form is located at http://www.rentarvnow.com/RV-Rental-Quote-Request-Form-State-Pick.htm.

Right now it just generates a email to our mail server and our mail server filters it by state..

We are wanting to upgrade this form and make it a saleable item..

We want to create a system to sales these lead to RV dealers with a full automated lead system…


This system will have the following features…

Customer cane be tracked by name, email address, ip address and relative information..
Customer account will be created based off the tracking information…
Details: When a customer puts in a new quote the system should be able to recognize them by name, phone number, email address, ip address or a combination of any information.. if the system is unsure it will ask them if they are wanting so enter in a new quote or update and old quote..


If they follow the link that is given to them it will automatically log them into the quote associated…. Customer should be able to log in to see all there quote from when they started using the system…

On the Admin side.. We need to be able to move quote into certain customer account.. edit them, add notes to them for the admin to see and for the customer to see and also for the agent to see.


Quotes need to be seeable by certain agents.. For example..

If we own a store in an certain area we don't want our competitors to be able to bid on the quote unless we are unable to supply for this quote.

When a quote is given will need to be able to approve a quote and add our fee into the quote before the customer sees the final total..

Clients should not be able to see the service provider until the quote is finalized…

Agents should be able to upload a picture of the RV or Trailer along with the RV Specs.. like number of Beds.. How Long the unit is, many other vehicle specs as needed.

Agents should be able to enter in as many units as needed to be able to do a quick quote… All entry's will need to be approved by our admin department we will make necessary changes as needed to the agent entry.


On the Client / Customer Side…

Customer will be able to log into request and update or cancel a pending quote…
When updating a quote a new email will be sent out to any agents that have a pending quote for the pertaining quote. Everything will be time stamped so that the agent and customer can see.. Admins will be able to generate a Request to update information to both the agent and the customer… for example on Monday if there are no quotes pending quote from any agents.. We can resend out request from the agents and also send out a request to the customer to see if they are still In need of the quote for there trip..

Customer will be able to accept or deny an offer and explain why they are denying an offer..

If its because of price then the system will ask the customer to bid a price that they would be comfortable at. At that point our admins would verify the bid and email the bid to selected agents.. all admin approval mechanisms can be put in auto approve mode as well. And a list of admin email can be entered to alert admins that a approval is pending..


Remember agent and client will not have contact information until the sale is final on both end..


On the Agent Side… agents will enter in contact information for the company or individual property owner..

As explained before agents will be able to input there inventory with pictures for an easy quick quoting process. Agent / Owners will be able to make changes to there account in full but some items will need approval after submitted..

Agents will also be able to upload there documents that customers must sign and customer may choose to upload signed documents as well.. Such as application, ID, insurance, etc, etc.. if they need to fax in a document they can fax it in with the quote number on the top of the form and we can add it to there quote. All of our faxed documents come in as pdf..


On the client side they will be able to pay and complete a quote… by any payment method…
Each payment method can be turned on or turned off by the admin..
